  • Responsibilities

    This position involves collaborating with the Director of Operations, Administrative staff, and Technical personnel to ensure effective administration of the business. A successful candidate will exhibit strong organizational and communication skills and demonstrate an ability to support efforts across multiple areas of the company including: human resources, accounting, marketing, compliance, operations and executive support. The candidate must demonstrate professionalism and be able to work beyond normal business hours when required to complete time-sensitive tasks. Essential responsibilities include:

    • Participate in, organize and record minutes for business management meetings
    • Support project managers with cost, performance, quality and schedule information related to projects.
    • Gather data from various information systems, compile data into useful information and analyze trends.
    • Conduct recruiting, hiring, and onboarding processes.
    • Administer employee benefit programs.
    • Perform administrative and clerical functions such as preparing correspondence, answering phones, arranging conference calls and meetings, and other duties as assigned.
    • Record expense data and supporting documentation in accounting system.
    • Review and approve expense reports.
    • Support material, administrative requirements for projects/contracts, marketing and business development activities
    • Perform office management functions such as supply management, facility management and security related activities.
    • Maintain company records and documents in accordance with files plan.
    • Maintain office, office equipment, office supplies and files in working condition. Maintain and update files plan.
    • Provide logistical and administrative support to others within the Operational Support Center and technical analysts that are essential for successful operation of the business.
    • Manage workload and schedule to complete tasks on-time.
    • Manage, oversee and approve vendor support activities.
    • Prepare invoices and track accounts receivable
    • Prepare payments to ensure on-time payment to vendors and subcontractors.
    • Maintain currency in relevant job knowledge to ensure that you are able to execute your responsibilities successfully.
    • Oversee management of accounts to ensure sound decisions are being made in accordance with company values, mission, goals and established budget.
    • Conduct orientation for new employees and outprocessing for exiting employees.
    • Navigate decision-making based on the core values of the company maintaining professionalism at all times
    • Plan and complete work in a manner that reflects commitment to and supports achievement of quality, environmental, and occupational health and safety goals.

    Qualifications

     

     Education: Bachelor's Degree

     

    A well-qualified candidates must demonstrate:

    • High level of proficiency with Microsoft Office products with emphasis on Excel and Power Point
    • Working knowledge of Quickbooks accounting software
    • Advanced organizational skills
    • Professionalism and integrity; be accountable, trustworthy and task-oriented.

    Position entails mobility and physical requirements:

    • Travel occasionally on various modes of transportation.
    • Lift and carry minimum 25 lbs. occasionally
    • Able squat/ bend/ kneel / twist / turn / reach above shoulder
    • Sit extended period of time
    • Utilize computer keyboard (type) and accessories repetitively and for extended periods
